Fixing time and corrections
What people can fix themselves, what goes to a supervisor, and what happens after payroll closes.
People can fix their own time until the pay period closes. Small fixes save right away. Bigger ones go to the supervisor.
Who signs off#
| The change | Who signs off |
|---|---|
| Move hours between your own projects, with the day's total the same | Nobody |
| Change a day by 15 minutes or less: a start, an end or a break | Nobody |
| Change a day by more than 15 minutes, or add time you forgot to clock | Supervisor |
| Change a day that was already approved | Supervisor, who sees both versions |
| Change a pay period that is closed | Payroll, as a correction |
The 15-minute limit is a company setting. The original clock-ins are always kept, and every change records who made it, when and why.
A forgotten clock-out#
If someone forgot to clock out, the app asks them once when they actually stopped. The answer becomes a request for their supervisor. Approving it applies the time.
Offline punches#
A punch made with no signal is saved on the phone with its time and sent when the phone is back online. It is never counted twice. If the phone's clock looks wrong, the supervisor is asked to check it.
Each day's state#
| State | Meaning |
|---|---|
| Open | Still being recorded or fixed |
| Submitted | Waiting for the supervisor |
| Approved | Ready for payroll and NetSuite |
| Posted | Sent to NetSuite |
| Closed | The pay period is closed; changes become corrections |
