Time off kinds and balances

Where kinds come from, how balances build, and who decides a request.

Kinds of time off#

Kinds come from NetSuite tasks named for time off, such as "PTO: Sick", "Time off: Vacation" or "Vacation". "Sick", "PTO: Sick" and "sick" name the same balance. Each kind says whether it is paid.

Balances#

Each person has a balance for each kind: the hours left. A balance:

  • goes down when a request is approved, once,
  • builds as approved hours come in, at the person's rate for that kind, never past its cap.

California paid sick leave builds at 1 hour for every 30 hours worked. A day sent back and approved again does not build time twice.

Requests#

When someone asks for time off, they see the balance left after their requests still waiting. If the request is more than what is left, they are told before they send it, and the approver decides. The form says who decides it.

Holidays and the calendar#

The company's holidays and the team's time off calendar sit beside each request, so a supervisor sees who else is out.

Payroll and NetSuite#

Each kind of time off goes to payroll under its own earning code. Approved time off posts to NetSuite on its time off task once its day has come.
